A Global Sales Office (GSO) is a centralized sales team that manages group bookings, MICE inquiries, and corporate accounts across multiple hotel properties within a chain or management company. Thynk's GSO capabilities enable centralized inquiry distribution, cross-property availability searches, consolidated reporting, and unified sales workflows while maintaining property-level autonomy for operations and revenue management.
How to Set Up Global Sales Office (GSO) for Multi-Property Management
Configure Thynk Global Sales Office to centralize sales operations across your hotel portfolio, distribute leads intelligently, share inventory across properties, and gain consolidated visibility into multi-property performance.
GSO Benefits
- • Centralized lead management for entire hotel portfolio
- • Automated lead distribution based on property capacity and availability
- • Shared inventory visibility for multi-property group bookings
- • Consolidated reporting and analytics across all properties
Step 1: Create Global Sales Office Entity
Begin by creating the parent organization that will represent your Global Sales Office:
- Navigate to Settings → Organizations in Thynk
- Click Create New Organization and select Global Sales Office type
- Enter GSO details: name (e.g., "Luxury Hotels GSO"), headquarters location, contact information
- Set the GSO as the parent entity for all properties in your portfolio
This parent entity serves as the central hub for coordinating sales activities across all properties.
Step 2: Add Properties to GSO
Link individual hotel properties to the GSO for unified management:
- Go to Organizations → Properties
- For each property, click Add Property and select the GSO as the parent organization
- Enter property-specific details: name, address, room count, meeting space capacity
- Configure property amenities, brand tier, and market segment
- Enable property for GSO lead distribution and shared inventory
Repeat this process for all hotels in your portfolio. Properties can be added or removed from the GSO at any time.
Step 3: Configure Lead Distribution Rules
Set up intelligent routing rules to automatically distribute leads to the most appropriate properties:
- Navigate to GSO Settings → Lead Distribution
- Geographic Rules: Route leads based on event location or guest proximity to properties
- Capacity Rules: Match lead requirements (room count, meeting space) with property availability
- Property Priority: Set preferred properties for specific lead types or market segments
- Round-Robin Rules: Optionally distribute leads evenly across properties to balance pipeline
- Availability Checks: Integrate with PMS systems to route only to properties with available inventory
Configure fallback rules when no properties meet the primary criteria, ensuring no leads are dropped.
Step 4: Set Up Centralized Sales Team
Create user accounts for your GSO sales team with appropriate cross-property permissions:
- Go to Settings → Users & Permissions
- Create user accounts for GSO sales managers and coordinators
- Portfolio-Wide Access: Grant permissions to view and manage leads across all GSO properties
- Regional Access: Assign sales reps to specific geographic regions or property clusters
- Property-Specific Access: Give on-site sales managers full control over their property only
- Configure role-based permissions for proposal creation, pricing approval, and contract signing
Team members with portfolio-wide access can propose multi-property solutions and coordinate group bookings across locations.
Step 5: Configure Shared Resources and Inventory
Enable inventory visibility and sharing across GSO properties:
- Navigate to GSO Settings → Shared Inventory
- Room Blocks: Allow GSO sales team to view and reserve room blocks at any property
- Meeting Spaces: Create a unified calendar of meeting room availability across properties
- Resource Pools: Set up shared inventory for special resources (AV equipment, catering, transportation)
- Booking Permissions: Define which team members can book inventory at which properties
- Hold Policies: Configure how long GSO sales team can hold tentative space before conversion
This shared visibility enables your team to propose multi-property solutions and coordinate complex group bookings.
Step 6: Create Portfolio-Level Reporting
Set up consolidated dashboards and automated reports for portfolio visibility:
- Go to Dashboards → Create GSO Dashboard
- Pipeline Overview: View aggregate sales pipeline across all properties with filters by stage, source, segment
- Revenue Reports: Track booked revenue, forecast, and pace by property and portfolio total
- Lead Performance: Analyze lead conversion rates, response times, and win rates by property
- Team Performance: Monitor individual and team sales metrics across the portfolio
- Automated Reports: Schedule daily/weekly/monthly executive summaries delivered via email
These reports provide leadership with real-time visibility into portfolio performance and identify optimization opportunities.
